How to make a delivery note

  1. 1

Add your business and the customer

Enter your details and the customer’s. The deliver-to address starts as the customer’s address; change it for a site or branch delivery.

  2. 2

    Add the order number

Enter the customer’s order or PO number, or create the note from a sales order or packing slip and OZO fills it in.

  3. 3

    List what you are delivering

Add each item with its SKU, the quantity ordered and the quantity delivered. Prices are never shown.

  4. 4

    Add delivery details

Enter who is delivering, the vehicle or consignment reference and the number of packages.

  5. 5

Print two copies and get it signed

Download the PDF and print two copies. The customer signs the “Received in good condition by” section; you keep the signed copy as proof of delivery.

What goes on a delivery note

  • Deliver-to address, which can differ from the customer’s billing address.
  • The order or PO number the delivery belongs to.
  • Items with SKUs, the quantity ordered and the quantity delivered.
  • Delivery details: driver or courier, vehicle or consignment reference, and package count.
  • A received-by section with name, signature and date.

Why a signed delivery note matters

If a customer later says goods never arrived or arrived damaged, a signed delivery note settles it. It also tells your accounts team that the order is ready to bill, and it makes partial deliveries clear for everyone.

From order to delivery to invoice

Confirm the order with a sales order, pack it with a packing slip, hand it over with a delivery note, then bill it with an invoice. Each document carries your details across, so nothing is retyped.

Frequently asked questions

What is a delivery note?

A delivery note travels with the goods and lists what is being delivered. The customer signs it on receipt, which gives you proof that the goods arrived complete and in good condition.

What is the difference between a delivery note and a packing slip?

A packing slip lists what is inside a parcel and usually goes in the box. A delivery note is about the hand-over: it is checked and signed by the person receiving the goods, and the signed copy comes back to you as proof of delivery.

Is a delivery note the same as a delivery challan?

Yes, in many countries the terms are used for the same document. Some tax systems have extra rules for challans used to move goods without an invoice, so check local requirements if that applies to you.

Does a delivery note show prices?

No. A delivery note lists items and quantities only, so it can be shown to warehouse staff, drivers and site teams. Bill for the goods separately with an invoice.

What if the customer reports damage or a shortage?

Ask them to write it on the delivery note before signing, and keep your signed copy as the record. For a partial delivery, enter the quantity actually delivered and send the rest on a second note.
